Dear Parent / Player
Re: Changes to how we collect membership info and payments

We are going paperless and changing how we collect subs/tournament fees/kit payments – so please read this email and act on it ASAP.

To make it easier both for you, and especially our Club Secretary and Treasurer, we are moving away from paper membership forms and health declarations, and away from BACS payments, to on-line forms and payment hosted through our club website on Pitchero.The website is secure and specifically set up to help amateur clubs like DPNC collect player data and subs etc.

To facilitate this we now require a parent/guardian to register on the club website (www.durhampalatinatesnetball.co.uk) along with every player by 31st August 2016. This includes younger members. In addition, a parent or carer (whoever pays the subs) must also register as the Parent and ensure they link to their child during the registration / update process. Many of you are already registered and where possible we have linked children records to parent records but not all are linked as we are missing some children/parents.

Can you ALL please login to the website and REGISTER ASAP. Parents will need to add payment details only once (please see attached FAQ document) so that Pitchero can collect your subs each month as a recurring payment. Please refer to the Frequently Asked Questions (FAQ) documents on the club website for instructions.

For the purpose of purchasing membership subscriptions, please purchase based on the age of your child as of 1st September 2016. For example, if your child is 11yrs old as of 1/9/16 they will be considered U12 by England Netball regardless of the team they are placed into.

The website charges an admin fee to take payments and DPNC will swallow that initially, but this position will be reviewed in 6 months and again in 1 year. However, all new member/Adult/B2N affiliations will have this admin charge included.

Once you have set up payments on Pitchero, you MUST CANCEL your standing order with your bank or you will pay subs twice in September. Sub costs remain the same as last year (you will choose the subs you pay when you set up the player/child). You can choose to make the payment monthly or weekly – however it is more expensive to pay weekly!!

No doubt there will be teething issues, but it is going to make things so much smoother. We will be able to send out lists of players to ask if they are available & pay for tournaments; you will be able to indicate if you are available to play each week that the league is running to help ensure we have full teams available; you will be able to order and pay for kit via the our own “shop” on the website (subject to usual order dates), and pay for one-off items like The 100 Club. All-in-all, a game changer in the management of our club membership!!

I hope you are all able to successfully register. If you have any difficulties please email admin@durhampalatinatesnetball.co.uk . In future all main communication will be through the website rather than the gmail account or Facebook.

There is a Pitchero app you can download onto your smartphone which will hopefully help you all. In September, once players have been allocated to a team, the website and phone app will enable you to keep up to date with league match dates/times, scores, team selection whilst enabling you to keep your team manager up to date with your child's availability.
